Equipment:
- Tables incl. Benches provided by the organizer. The organizer will provide one bench and one ticket per table. All furniture used, including tables and chairs, must remain within the dealer area marked by the organizer during the event.
General stand information:
- It is not permitted to register as an exhibitor in other areas such as Artist Alley, Cosplay Village etc. at the same time, should this be the case your registration will be excluded immediately.
- Dismantling before the end of the official event running times is not permitted.
- If a stand has not been cleared by the end of the specified dismantling time, the organizer reserves the right to clear the stand at the exhibitor’s/trader’s expense.
- The organizer is not liable for damage caused by third parties or for theft of the goods.
- The placement of goods and/or advertising material outside the stand area is not permitted and may lead to extra costs or, in the event of a repeat offense, to exclusion.
- The stand may not be passed on or rented to others without the written consent of the organizer!
- Walls must not be pasted over or damaged in any other way.
- Exhibitors and traders will be asked to dispose of the waste (generated in their area at the event).
- The stand equipment must be returned in perfect condition at the end of the event.
- Damaged, destroyed or lost furnishings will only be restored and replaced by the organizer and at the expense of the exhibitor/trader. Pay particular attention to adhesive tape residues on the tables.
- The stand area may not be altered (e.g. extended) during the event. Fees may be charged in the event of non-compliance.
- Power connection: The organizer is not liable for any damage caused by the use of power connections at the event location.
- If extension cables or distribution sockets are borrowed, they must be returned at the end of the event, otherwise fees will be charged.
- Advertising measures (e.g. flyers) are permitted without restriction at the exhibitor’s own stand (within the framework of normal convention operations), but are only permitted in the event rooms in consultation with the organizer.
- At the end of the event, the exhibitor must leave the area used by him swept clean. If this is not the case, the organizer reserves the right to charge for any necessary cleaning.
- Special requests and inquiries (e.g. seat neighbor requests) must be made IN WRITING without exception!
- Exhibitors must be of legal age and have legal capacity. A trade license is mandatory for participation in the event as an exhibitor. Special rules apply to fan stands.
- The organizer reserves the right to reject registrations without giving reasons.
- The conclusion of the contract does not entitle the exhibitor/dealer to the allocation of a specific space, but his wishes will be taken into account.
- If a chip is required for the goods lift on site, this can be collected from the information stand for a fee of €50; if the chip is returned at the end of the event, the retailer will be reimbursed.
- The exchange of stands between approved exhibitors/traders requires the prior consent of the organizer.
- Stand areas rented by the organizer may not be sublet or rented to third parties.
Withdrawal/non-participation:
- The organizer may agree to the termination of the contractual relationship up to 8 weeks before the start of the event, provided that the vacant space can be rented to another party. In this case, the exhibitor must pay 50% of the stand rental fee as a cancellation fee.
- From 8 weeks before the start of the event or if the organizer does not agree to the cancellation of the contract, the exhibitor must pay the entire stand rental fee and the advertising fee as a cancellation fee.
- The cancellation fee represents a lump-sum compensation, the reduction of which is waived. The organizer does not have to accept a substitute tenant brought in by the exhibitor.
- If the stand cannot be occupied due to unforeseen events on the part of the exhibitor/retailer, the organizer must be informed immediately.
- Stands that are not occupied by 12:00 noon on the first day of the event may be reallocated by the organizer. A claim for reimbursement of stand rental paid is excluded.
Products offered for sale:
- Exhibitors must themselves ensure that the products on offer comply with the applicable law, in particular the Protection of Minors Act, the Accounting Act and the Cash Register Ordinance!
- The sale of open and fresh food and drinks is not permitted.
- The sale of weapons and weapon replicas is not permitted.
- The sale of unlicensed products is prohibited. In the event of suspicion, the organizer reserves the right to demand proof of origin or a license agreement from the retailer.
- The sale of rejected items may be prohibited by the organizers. In the event of repeated violations, the organizer reserves the right to have the stand cleared and to ban the trader from the stand. An excluded trader has no right to a refund of any costs.
- In the event of gross violations, the organizer reserves the right to file a complaint with the relevant authorities.
- If you sell anything other than the products listed above in the products offered for sale, the organizer is entitled to exclude the goods on site.
- Unless otherwise contractually agreed with the organizer, the sale of tickets for other events of any kind is prohibited. The sale of Al Art products is also prohibited.
Protection of minors:
- It should be noted that many of the visitors to the event are minors, so adult, violent and pornographic goods may only be displayed and sold in the 18+ area.
- Goods not suitable for minors may not be handed out in public areas even on request and against an age check.
- Also included under goods permitted exclusively in the 18+ area are nude motifs without an explicit sexual/erotic context, as well as images which, although clothed in the most sensitive areas (e.g. lingerie, bikinis), adopt provocative and/or sexually stimulating poses. The same applies to Ahegao products, as well as figures, mangas/doujinshis, artbooks and anime from the Yaoi, Yuri, Hentai, Horror, Splatter, Gore and partly Ecchi genres.
Payments:
- Exhibitors must transfer the stand costs in accordance with the registration form no later than 2 weeks after receipt of the invoice. This must be done by bank transfer. Account holder: Zlatko Hamzic; IBAN: AT192081500042410134; BIC: STSPAT2GXXX; reason for payment: dealer name + invoice number. Failure to pay on time will be considered a withdrawal from the registration.
Liability and insurance:
- Insurance against damage, burglary, theft, fire / water / transportation damage of the items brought along by the exhibitor is the sole responsibility of the exhibitor. The exhibitor is liable for any damage caused to third parties or the organizer at the stand.
- The organizer cannot be held liable for any damage caused by the use of its own stand equipment (including electronic devices).
Failure to fulfill the conditions of participation:
- If the conditions of participation are violated and continue to be violated despite a warning from the organizer, the organizer has the right to exclude the exhibitor from the event with immediate effect. An excluded exhibitor has no right to reimbursement of costs. In the event of gross violations, the organizer reserves the right to file a complaint with the relevant authorities.
Place of fulfillment and jurisdiction:
- The place of performance and exclusive place of jurisdiction for all disputes between exhibitors/partners and the organizer is Graz. Austrian law shall apply to all disputes, including those with a foreign connection.
Partial nullity clause:
- Should any provision of these conditions of participation be/become invalid or incomplete, this shall not affect the validity of the remaining provisions. In this case, the invalid condition shall be interpreted in such a way that it comes closest to the purpose originally pursued.
